(RIGHT: This is what happens when loose zip-top bags are shipped without being put inside smaller boxes!)

We get it, this is a lot to read. But it is VERY important that you follow the instructions below regarding how to package your tokens for mailing in the Token Exchange Program. You can save yourself a lot of heartache by making sure your tokens are properly packaged. Tokens are heavy, and if they are shipped loose in a box, they usually break open the box. We are very keen to avoid situations where we have to contact collectors and tell them that they are only getting half of their requested Exchange tokens back because their box tore open during shipping.

 

USPS Priority Mail – Flat Rate Boxes

We only use USPS Priority Mail Flat Rate boxes to mail out our tokens. We strongly recommend you do the same as their value is hard to beat. In addition to the postage being same price no matter how heavy the box's contents, the boxes themselves are free! The below instructions assume that you are going to use one or more of the following USPS Priority Flat Rate boxes:

• Small Flat Rate box (ID# SFRB) Can hold up to ~175 tokens
• Medium Flat Rate box (ID# FRB1) Holds up to 6 Small Flat Rate boxes
• Large Flat Rate box (ID# LARGEFRB) Holds up to 9 Small Flat Rate boxes

A Small Flat Rate Box (FRB) fits tightly inside Medium or Large FRBs, so we highly recommend that you first place all your SNACK SIZE zip-top bags of tokens inside a Small FRB before securing them inside the bigger boxes (if needed). Make sure the box is filled with something sturdy that provides structural support when heavy things are placed on your box. (During shipment, something very heavy absolutely will get placed on top of your box, most likely at high velocity.) The easiest/cheapest is to fill the rest of the box with more Small FRBs. Six Small FRBs fit perfectly within a Medium FRB and nine Small FRBs fit in a Large FRB.

The first step is to be sure to place each group of ~25 tokens in a SNACK SIZE zip-top bag with the proper label facing out. This group of tokens is what you would normally be turning in for one Trade, Reserve, or Transmuted token. Sometimes, you might turn in more than 25 tokens for a single token. If so, a larger zip-top bag is required. Just pack all your ~25 recipe tokens into that larger zip-top bag and place the label inside it--print side facing out. 

You can fit approximately 175 tokens inside a Small FRB box from the USPS. This equates to approximately 1,050 tokens for a Medium FRB and 1,575 tokens in a Large FRB.

Always ship the tokens loose inside the zip-top bag. Do not tape or roll them together.

The second step is to close & seal the Small FRBs and then place them inside either a Medium or Large FRB--if you are sending in more than ~175 tokens. If you don’t place the maximum number of Small FRBs inside the bigger box, be sure to tape around the perimeter of the top of the smaller boxes inside the larger box. This secures the smaller boxes and prevents them from moving around during shipping. However, you must still fill the rest of your box with something sturdy to resist being crushed.

The third step is to be certain you've enclosed the required Token Exchange Program documents, then close and seal the box with tape. Whether you are sending a single Small FRB or a larger box, it is VERY IMPORTANT to tape the outside of the box well. Be sure to cover all seams with good quality packing tape, and please double-reinforce the seam on the side. That seam tends to split apart with the greatest frequency. (see first photo at the top of this page)

The final step is to affix the shipping label that was printed out in your Token Exchange Program documents. Please use tape to secure the label to the box so that the label is completely covered. This ensures the label won't get torn during shipping.

We recommend that you spend the extra few bucks and make use of the Signature Confirmation service. This helps to protect your shipment.

NEVER send tokens in a paper envelope! Please use a sturdy box or heavy-duty mailer. USPS Priority boxes are FREE when you use USPS Priority Mail to send in your tokens.

Below is a properly taped and addressed shipment of Exchange tokens (Trade, Reserve, or Transmuted). Three strips of high-quality packing tape are used along the top and bottom (middle seam) of the box. More tape is added along all four corner edges. Finally, use tape to secure the address label to the box--completely covering the label.

NOTE: If you prefer, you can go to usps.com to print your own label. Doing so may save you some money.

 

 

Frequently Asked Questions

Can I send more than one of the same type of transmute in the same bag? For example, can I send in enough tokens to make three Dwarven Steel in one bag? Or do I need to break them down into 3 bags?
It depends on the type of Trade Tokens you're exchanging.

• Standard: For all weapon and/or armor Trade tokens (Dwarven Steel, Minotaur Hide, Elven Bismuth, Oil of Enchantment, and Aragonite), please place them in separate bags. To make 3 Dwarven Steel tokens, you would need 3 different zip-top bags, each containing 25 Common weapon tokens.
• Optional: For all point-based Trade tokens (Alchemist's Ink, Alchemist's Parchment, Darkwood Plank, Enchanter's Munition, Minotaur Hide, Mystic Silk, and Philosopher's Stone), you may put exactly 25 Uncommons ("×3") or exactly 25 Rares ("×6") in a single bag, but they must be marked accordingly. Let's say you're submitting a single bag of 25 Rare jewelry tokens, thus ordering 6 Philosopher's Stone tokens. Take 1 (one) Philosopher's Stone label and manually write "×6" on it. Take that single "Philosopher's Stone ×6" slip and place it in the bag (text side facing out so it can be easily read) of 25 Rare jewelry tokens. If you were to submit 25 Uncommon jewelry items, you'd write "×3" on the Philosopher's Stone slip.
  • Please do not put more than one slip in a bag.
  • Please do not utilize this optional method if you have mixed rarities in the bag or with any quantity of tokens other than 25. This means, for example, do not put 23 Uncommons and 1 Rare in a bag. If you don't have exactly 25 Rares of the same category or exactly 25 Uncommons of the same category, please use the standard bagging method of one Trade token per bag.
• When submitting tokens to be exchanged for Trade items, please do not put more than 25 tokens in a single snack-size bag. It slows down the verification process and the bags tend to split.

We ask you to follow these procedures to speed up the fulfillment process and make it much more error-free.

 

Can I send in for more than one Transmuted Token in one shipment to TD?

• Example 1 : From above, if they have to be separate bags, can I stick many zip-top bags into one box?
• Example 2 : I have one of every type of Trade Token, each in their own bag, can I stick that in one box?

Yes. You can put any number of different kinds of zip-top bags in any Small Flat Rate box. Just be sure the appropriate printed-out label is placed inside each bag.

 

Let's say I have the following to trade in for several Philosopher's Stones:
     12 Rare Rings, etc. (12 × 6 pts = 72pts)
     1 Uncommon Ring (3pts)
     Total 75, or 3 Stones
How should these tokens be bagged as it's not an easy division of tokens for each into 25 pts?
Please try to avoid this situation if possible. If you cannot, in the above example please place 24 pts of tokens separately in 3 bags, and then place the left-over 3 pts token in a separate non-labeled bag. Then, take all four bags and place them together in a larger zip-top bag. This is how we will know that this special case has occurred.

 

If I want to transmute a token but I don’t yet have all the required Trade item ingredients, can I just send in the equivalent tokens so I only have to make one shipment?
To fulfill a Transmuted token’s recipe, you must provide the exact items the recipe calls for—not the equivalent in "raw" tokens. E.g., if you want to make a recipe that requires one Elven Bismuth, you must send in an Elven Bismuth token, not 25 Uncommon weapons in its place. This still applies if you are also making Trade tokens for future exchange. You may not send in (as an example) 50 Uncommon weapons and request that one of those two Elven Bismuths be applied to a recipe in the same shipment. Long story short, you’ll need to make two shipments: the first one where you send in for all the Trade and/or Reserve tokens you need, and then a second shipment where you submit the exact recipe the Transmuted token you want calls for.

Why are we being "meanies" like this? The process has been designed to eliminate errors and confusion. It’s quite perplexing to try and interpret the convoluted schemes some collectors concoct. Rather than attempting to decipher twists, turns, and multi-layer cross-references, we want to keep these transactions as simple and uncomplicated as possible. This results in far fewer errors and reduces the number of angry emails from people whose convoluted orders got mixed up.

We realize this situation is not a perfect one, but we feel strongly that this is the best way to handle it. We think avoiding confusion and reducing errors is worth the added inconvenience. We understand it costs more in shipping this way (for both of us), but we think an orderly exchange is ultimately best for all parties.
